Methods of Querying

Input in the Query form is case sensitive. Please use upper case letters in all circumstances.

There are two ways in which you can query (search for) records on-line. You can query using a search screen for the specific item that you are looking for (recommended) or you can query for all images (not recommended), ten items at a time. It is important that the user check the pertinent Index Map first and preferably print it out so that you have all applicable information in front of you while entering the data.

1. Query Using the Monument Records Search Window - RECOMMENDED METHOD

When you first log in, there will be two windows on your screen with links. These links represent folders for Survey Monument Records. The link that appears in the right window will take you to a query (search) screen where you can specify the document that you are looking for.

Splash Screen
Click on Monument Records to start your query (search).

After clicking on Monument Records, this Search Window will appear:

Beginning Range - Ending Range
query screen layout
Query (Search) Window

The Search window provides two columns that require a starting point in the left column.
Some fields (boxes) are not necessary to fill in. Township & Range are required fields.

query screen layout
Example of search for a single Township and Range.
Fill in Township & Range values on left only.

Beginning Range - Ending Range
Example of search for multiple Townships and Ranges.
Fill in both sides of Township & Range values.

If you are searching across more than one Township or Range, you will need to fill in both sides with a value. The left side would contain the lowest value and the right side the highest.

2. Query All Images (limited to 10 records at a time) - NOT RECOMMENDED

When you first log in, there will be two windows on your screen with links.

Splash Screen
This search method on the left screen
is NOT RECOMMENDED.

These links represent folders for Engineers & Land Surveyors. All of the images are stored and maintained in folders. The links that appear to the left of your screen, allow you to retrieve all images within a folder. There are two folders listed:

Monument Records – which contains the Colorado Land Survey Monument Records.

Master Indexes – which contains Colorado Land Survey Monuments Master Indexes.

Click on the link for the folder that you wish to query the image in.

Images are not displayed in any particular order when retrieving by this option. There could be several thousand located in this folder. Only ten links for images appear at a time. There are buttons at the bottom of your screen that allow you to look at the previous 10 images or go to the next 10 images. This is not the recommended way to retrieve images

Retrieving All Images

All documents will appear as links. The information that is displayed includes:

Principal Meridian, Township, Range, Index Ref#, Received Date, and Create Date.

The Search Screen - Keys to Querying

There are five main fields that you can query the images by on the search screen. In the table below are the fields that you can query by, the maximum length of each field and valid values that may be entered:

Field

Maximum Length

Valid Values

Principal Meridian

1 character

6, N, U, or C

Township

3 numbers

99.9 plus S or N

Range

4 numbers

999.9 plus E or W

Index #

15 characters

Free Form

Received Date

8 (Date)

MM/DD/YYYY format

TIP: For the best results in your query, you should enter values in the left township and range field first. If you are searching across multiple townships or ranges, include any differing values such as 01.0N in the left and 02.0N in the right field, or 069.0W in the left field and 070.0W in the right field. You will need at least one township and one range value on the left to return a valid response. NOTE: Ignore values that are returned that are outside of your query--some searches will return South values in a search for North townships.

More than one index map will be found for townships with a large number of records filed, since folders containing the originals can hold only a limited number. There will also be extra maps for those townships spanning county lines. Not all townships will have Master Index Maps because no records have been filed in some townships. When new Master Index Maps are created, they will enter the system in the month following the first tiling.

It is essential to make your search in all of the adjacent townships for corners located in township lines. Some records have been filed in all of the affected townships, but in general this is not true.

Due to the maximum length allowed in a field, certain fields may require entry of additional zeroes.

Wild Card Searches

You can search documents with a wildcard. However the more specific you can be, the better. It is recommended that you enter at a minimum the principal meridian, township, and range.
