Performance Planning and Management
Quick Reference

  1. The Performance Planning and Management System (PPMS) is available as an Intranet application to all current DORA employees.
    - Start Internet Explorer and type dora in the address field to access the Intranet.
    - If you are dialing into the network to access the system, you might have to enter http://dora.state.co.us in the address field to access the Intranet.
    - A link to the online PPMS system is located under the Personnel section of DORA's Intranet.
    - Use the PPMS system to work with your online performance plan (or the plans for your employees if you are a supervisor).

  2. Logon to the system by entering your social security number, position number and password.
    - Social Security Numbers can be entered with or without dashes.
    - Click on the List of DORA Position Numbers link to look up a position number.
    - You won't have a password if you are logging on to the system for the first time. The system will prompt you to enter a new password when you click the "Logon" button.
    - Passwords must be at least 6 characters.

  3. Create or maintain the list of positions that you supervise. (Supervisors only).
    - Click on the Manage Positions Manage Positions icon from the main menu to maintain your list of supervised positions.
    - Use the Available Positions section to add positions to your list. Click on the checkbox next to each position that you supervise. Then click on the "Add to List of Supervised Positions" button.
    - Use the Positions Supervised By section to remove positions from your list. Click on the checkbox next to each position that you want to remove from your list. Then click on the "Remove from List of Supervised Positions" button.
    - Click on the Home Home icon from the main menu to return to your main Performance Planning page.

  4. Click on the "Create Plan" button or the "Copy Plan" button from your main Performance Planning page to create a new performance plan.
    - Most employees will use May 1 - April 30 as starting and ending dates when creating a new annual plan.
    - Employees that have changed positions or had a change in supervisors during the performance planning cycle will have more than one annual plan for that time period.

  5. Add job duties, goals and measure to a new plan from the New Plan page.
    - Click "Add" in the Job Duties section to open the Add Job Duties to Plan page.
    - The system will guide you through entering up to 8 job duties each with associated goals and measures.
    - Click the "OK" button to save each job duty.
    - Use the "Update" or "Delete" buttons in the Job Duties section to modify job duties, goals and measures as necessary.
    - Click the "Cancel" button when you are done entering job duties.

  6. View the standard Core Competencies and Elements. Add optional Elements if necessary.
    - Select any of the standard Core Competencies and click on the "Update" button in the Core Competencies section to open the Update Core Competencies page. This page will describe in detail the selected Core Competency and also show all Elements (mandatory and optional) associated with it.
    - Click the "Add Elements" button to select any of the standard optional Elements associated with each Core Competency.

  7. Add weights to job duties and core competencies. (Supervisors only).
    - Only supervisors will be allowed to add weights to Job Duties and Core Competencies on a plan.
    - To add or update a weight, select a Job Duty or Core Competency from the Modify Performance Plan Page. Then click the associated "Update..." button for that Job Duty or Core Competency.
    - After weights have been assigned to all Job Duties and Core Competencies, click the "Finalize Weights" button to finalize the weights for the plan.
    - Once weights have been finalized, only the supervisor will be allowed to modify Job Duties and Core Competencies.

  8. Print the performance plan.
    - From the Performance Planning page, select the plan you want to print by clicking the radio button associated with that plan. Then click on the View/Print Plan button.
    - For best results when printing, set your browser print options as listed below. To access the print options, select your browser's File menu. Then, click on the Page Setup option.
    • Header and Footer:
    • Orientation: Portrait
    • Margins: 0.5"
    - You will have the option to view or print the following portions of the selected plan:
    • Entire Plan (Default)
    • Front Page Only
    • Performance Management (Job Duties)
    • Behavioral Factors
    • Narrative
    • Summary Page

  9. Click on the "Sign Plan" button to add your signature and date to the performance plan.
    - The "Sign Plan" button will only be available after weights have been finalized by the supervisor.
    - Once a plan has been signed by both the supervisor and the employee, modifications to that plan will be logged by the system.
